How we work

Four stages, working backward from the funder's clock.

Every deadline gets a schedule the day we take the project. You always know what we need from you and when we need it.

Discovery and intake

You submit the intake form. We read it, then schedule one working call with whoever knows the program best. We collect your governing documents, budget, outcome data, and any past proposals. By the end of this stage you have a written scope and an hour estimate to approve.

What we need from you: an hour of the right person's time, and access to documents you already have.

Research and strategy

We confirm eligibility, read the guidelines line by line, review the funder's recent giving, and build the requirement checklist. If the opportunity is a poor fit, this is where we say so and point you at better ones. If it is a good fit, we lock the schedule: your review dates, our draft dates, and the submission date.

What we need from you: a decision on the shortlist, and the name of whoever signs.

Drafting and collaboration

We write the full narrative and build the budget. You get a complete draft, not a skeleton, with our questions marked directly in the document. One consolidated round of your edits, then a final pass for compliance, formatting, and word counts. Your voice stays on the page.

What we need from you: consolidated feedback by the agreed date. One voice from your side keeps this clean.

Submission and follow up

Attachments assembled and labeled, portal fields completed, submission confirmed in writing. You receive a complete copy of everything for your files. After the decision we help with the thank you, the reporting calendar, or the resubmission, depending on which way it goes.

What we need from you: signatures and portal access, both requested well before they are due.

Ground rules

Communication

One point of contact on each side. A weekly update showing what we worked on and the time it took. No silent weeks.

Deadlines

We do not submit at 11:59 p.m. Portals fail. Our internal deadline is 48 hours before the funder's.

Ownership

The finished proposal is yours. Reuse it, adapt it, submit it elsewhere. It is your organization's story.
